What Should You Expect from Your NDIS Plan Manager?

If your NDIS funding is plan managed, your providers will usually send their invoices directly to your Plan Manager for payment. But a Plan Manager should do more than simply pay invoices.


They should check invoices, keep track of your funding, let you know when spending is off track, and help you understand what's happening with your NDIS budget and so on.


So, what should you actually expect from your Plan Manager?

1. They Should Understand Your NDIS Plan


Before paying invoices, your Plan Manager needs to understand the funding available in your plan and what it can be used for.


They should know:


  • which parts of your plan are plan managed

  • how much funding is available

  • which budget a support should be claimed from

  • whether something meets the rules for an NDIS support.


The NDIS requires Plan Managers to make sure claims are in line with the participant's plan, budget and NDIS support rules.


In other words, Plan Management isn't simply an invoice payment service.


2. They Should Check Invoices Before Paying Them


Imagine you normally receive two hours of support on a Tuesday, but an invoice arrives charging four hours. Or perhaps the date is wrong, the hourly rate has changed, or you're charged for a service you don't recognise.


A good Plan Manager shouldn't simply process it because an invoice has arrived. The NDIS requires Plan Managers to get participant approval for claims and make sure the support delivered matches what's being invoiced.

3. You Should Know Where Your Funding Is Going


Here's a simple question: If someone asked how much NDIS funding you have left today, would you know?


You shouldn't have to guess.


Plan Managers can provide participants with a statement showing how much has been spent, how much remains and whether spending is tracking as expected. They should also raise concerns about overspending where required.


This matters because both overspending and very low spending can tell you something.


If your funding is disappearing much faster than expected, you need to understand why.


But if you've barely used your funding halfway through your plan, that's worth looking at too.


Perhaps a therapy hasn't started, you haven't found a suitable support worker, or some of the supports in your plan simply haven't been put in place.


Having funding and actually using it effectively are two different things.


4. They Should Tell You When Something Doesn't Look Right


Good Plan Management should give you some early warning. For example:


  • Your Core funding is being used much faster than expected.

  • A provider has started charging a different rate.

  • An invoice doesn't match the service you received.

  • There may not be enough funding left to continue the current service schedule.


Your Plan Manager should explain what they've noticed so you can decide what to do next. The NDIS specifically expects Plan Managers to monitor budgets, notify participants when spending isn't on track and help resolve payment disputes.


5. Your Plan Manager Doesn't Control Your NDIS Plan


This is an important distinction.

A Plan Manager manages the financial side of your NDIS plan. A Support Coordinator helps you connect with and coordinate your supports.


For example, your Plan Manager can help you understand how much funding remains and process an invoice from your occupational therapist. But they aren't there to decide which OT you should choose or organise all your supports for you.


You're also still responsible for understanding your plan and making sure you don't overspend your budgets.

6. You Should Be Able to Ask Questions


Plan Management involves your money, so communication matters.


Before choosing a Plan Manager, ask some practical questions:


  • How quickly do you process invoices?

  • How can I check my remaining funding?

  • What happens if an invoice looks wrong?

  • Will you let me know if my spending is off track?

  • Who do I contact if I have a question?

  • Can you explain my funding in a language I understand?


Plan Managers must be registered NDIS providers, so registration is a basic requirement rather than an optional extra.


Beyond that, look for someone who makes the financial side of your plan easier to understand, not more complicated.


Is Your Plan Manager Doing Their Job?


A quick check:


✓ My invoices are checked and processed properly


✓ I know how much funding I have left


✓ I receive regular financial statements


✓ I'm told when my spending isn't on track


✓ I can ask questions when something doesn't look right


✓ I understand what's happening with my NDIS funding


If you can't confidently say yes to most of these, it may be worth having a conversation with your Plan Manager.


And remember: you can choose your Plan Manager and change Plan Managers if the service isn't working for you.
